Contract Lifecycle

The Contract Lifecycle section explains how Vayu evaluates customer contracts, pricing structures, subscriptions, usage data, and contract changes throughout billing operations.

Contract processing supports fixed fees, usage-based pricing, phased contracts, commitments, credits, discounts, and pricing changes over time. Use this page when reviewing contract status, deciding whether to edit or revise a contract, or troubleshooting how contract changes affect invoices.

Contract Statuses

Vayu uses contract statuses to show where a contract is in its lifecycle.

• Pending Review means the contract has been prepared but has not completed the review or approval process.
• Scheduled means the contract has a future start date. Scheduled contracts are not labeled inactive because they are waiting for their configured start date.
• Active means the contract is live and billing automation can generate invoices according to the contract terms.
• Inactive means billing automation has been suspended for the contract and future invoices are not issued while it remains inactive.
• Pending Termination means a termination has been scheduled but the termination date has not yet been reached.
• Terminated means the contract has ended. No additional invoices are issued after termination. Terminated contracts can be cloned, but they cannot be turned back into active contracts.
• Expired means the contract reached its configured end date.
• Error means Vayu encountered a processing issue that requires review.

Hover over the Terminated or Pending Termination status chip to view the termination date. After a contract is terminated, the termination date cannot be changed.

Contract Dates

The contract start date cannot be edited once the contract has an approved invoice.

The contract end date can be extended from the contract page by hovering over End Date and using the available edit control.

Contract Edit

Use contract edit when the contract has started but no invoice has been approved.

Use this option when there is an error in the commercial setup, pricing definition, or contract details and no customer-facing invoice has already been approved.

When you edit a contract in this state, Vayu replaces the existing contract configuration and regenerates draft or in-review invoices from the selected start date.

Contract Revision

A contract revision changes the commercial terms of a live contract by creating a new contract phase. The phase records the updated terms from the selected effective date.

Use a revision for renewals, mid-contract updates, future-dated pricing changes, product additions, product removals, discounts, or other commercial changes that should be tracked as part of the contract history.

When a revision is applied, Vayu preserves approved invoices under the previous terms. Draft and in-review invoices for the affected period may be deleted and regenerated according to the revised terms.

Delete a Contract

Deleting a contract removes the contract and its related invoices. This action is immediate and final. Once deleted, the contract and deleted invoices cannot be restored.

Use delete only when the contract was created incorrectly and should not remain in the platform.

When a contract is deleted, Vayu removes the contract record and deletes its related invoices.
